This Privacy Policy establishes the rules to govern the collection, use and disclosure of personal information collected by iGuide Joint Stock Company (“iGuide”).iGuide”, “Company" or "We”), in the course of business, in compliance with Vietnamese privacy laws and international rules, including Decree No. 13/2023/ND-CP and the General Data Protection Regulation (“GDPR”).
This Privacy Policy applies to all individuals whose personal information is collected, used or disclosed by the Company in the course of its business. This includes individuals who are customers and all individuals who are contract employees, contractors and consultants to the Company as well as visitors to our website: www.iguide.ai and any and all iGuide branded URLs. It is our policy to disclose your personal information only as required or permitted by law or as otherwise set out in this policy. We reserve the right to change this policy from time to time as industry practices, the law, and Our procedures in this area may change over time.
WHAT IS PERSONAL INFORMATION?
“Personal information” means information about an identifiable individual. Where this Privacy Policy states that a list of items is “inclusive,” such lists are intended to be exemplary only and are not intended to be exhaustive or exclusive.
This Privacy Policy applies to all personal information collected, used or disclosed by the Company. The Company has designated a Privacy Officer to be responsible for implementing this Privacy Policy. Individuals may ask questions or report any privacy concerns, violations, breaches or compliance issues to the Company's Privacy Officer at the address listed below.

The Company only collects and uses the personal information that We need to provide services and operate our business. Accordingly, the Company collects the following personal information from individuals for various purposes as outlined below:
iGuide does not collect personally identifiable information through its website except when individuals specifically provide such information on a voluntary basis. iGuide will collect, store, use and disclose personal information for a variety of purposes, including:
- register for contests, giveaways and other promotions;
- establish visitor eligibility for special offers or discounts;
- subscribe to e-newsletter;
- identify customer preferences;
- to respond to requests for information;
- visitors who have submitted comments and/or suggestions;
- Send free customer guides, meeting planners, and other paper or electronic travel information;

CONSENT

The amount and type of personal information collected by the Company will be limited to what is necessary to fulfill the identified purpose. Personal information will only be used or disclosed for the purposes for which it was collected. Exceptions may be made with the individual's consent or if permitted or required by law.
Personal information collected by or on behalf of the Company will be sent to the Company's head office in Hanoi and will be subject to Vietnamese law.
HOW TO ACCESS PERSONAL INFORMATION?
Upon receipt of a written request by the Company, individuals will be informed of the existence, use and disclosure of their personal information records and will be provided with access to that information. Requests for access to personal information held by the Company should be directed to the Company's contact details.
Requests must be made in writing or by email. Individuals may be asked to verify their identity in order to access their personal information. Any documentation provided will be used for verification purposes only.
The Company responds to requests for access to personal information within 30 (thirty) days of receipt of the request or as permitted under applicable privacy laws.
A fee for reasonable costs incurred may be charged when responding to more complex requests. The individual will be informed of the applicable fee. Requested information will be provided in an easy-to-understand format.
When describing third parties the Company will be as specific as possible as to the extent possible of the list of organizations to which the Company has disclosed personal information about an individual. When it is not possible to provide a list of organizations to which the Company has actually disclosed information, the Company will provide a list of organizations to which the Company may have disclosed information.
Individuals are entitled to view the original records or request a copy, subject to the limitations permitted or required by law. In the case of citizens of the European Community, they may have the right to have information deleted from our systems, subject to the limitations permitted or required by law. In order to maintain the integrity of the records and ensure that documents are not deleted from the Company, individuals wishing to view the original records will do so at the Company's head office and under the supervision of designated Company personnel.
RETURN, CORRECT OR DELETE PERSONAL DATA
If you wish to cancel your trip planning account or delete your user personal information, you may do so by contacting our support. You may request access to, correct, update or delete your personal data from iGuide's systems by contacting [email protected] via email with the subject line “Request to return, update or delete data” to formally request the return, update or deletion of your customer data.
RESTRICTED ACCESS
The Company will only deny access to information about you in cases where it is permitted or required by applicable privacy laws.
In the event the Company refuses to provide access to information, the Company will provide you with a reason for the refusal upon request. Exceptions may include information that contains references or opinions of other individuals, information that cannot be disclosed for legal, confidential or proprietary reasons, or information subject to attorney-client or litigation privilege. The Company will comply with your access request in accordance with applicable privacy laws.
HOW WILL MY PERSONAL INFORMATION BE STORED?
Personal information must be kept accurate, complete and updated as necessary for the purposes for which it is used.
Individuals have the right to request the accuracy and completeness of personal information held by the Company and to have that information amended as appropriate.
Individuals wishing to correct or amend their personal information should submit a written request to the Company's support address.
All formal requests for correction of personal information must be accompanied by appropriate supporting documentation. Company staff will manage any exceptions. The corrected information will be passed on to a third party, if appropriate.
If the individual is not satisfied with the outcome of the request, the Company will record the issue internally and provide a response. The existence of unresolved requests will be passed on to a third party, as appropriate.
HOW IS MY PERSONAL INFORMATION STORED AND SECURED?
Personal information will only be retained for as long as necessary and will be handled in a manner appropriate to the sensitivity of the information. We will de-identify customer personal information or destroy records containing personal information when it is no longer needed. We use appropriate security measures when destroying customer personal information, including destroying paper records and permanently deleting electronic records.
Personal information will be protected by security measures appropriate to the sensitivity of the personal information.
Please note that We use cloud-based services to store information in the following countries: Vietnam and Singapore. When personal information is stored or processed outside of Vietnam, it is subject to the laws of that foreign jurisdiction and may be accessible to the government, courts, law enforcement or regulatory authorities of that jurisdiction.
We will notify you and the relevant authorities as required by law of a security breach affecting personal information if the breach creates a genuine risk of significant harm to individuals.
ENSURING COMPLIANCE
Questions or complaints regarding compliance with this Privacy Policy should be submitted in writing to the Company's contact address.
If you are not satisfied with the response from Our staff following your complaint, you may have access to additional remedies under applicable privacy laws. For further information, please contact your local government representative or data protection supervisory authority, if applicable.
